About the Role
This unique hybrid role combines Listing Coordination with Executive Assistant support to our team leader, Scott Oyler and our listing department. You’ll ensure new listings are launched flawlessly and help Scott stay focused on top-level priorities by managing communication, scheduling, and operations behind the scenes.
Key Responsibilities
Listing Coordination
Gather and manage all listing information, documents, and property details
Accurately enter listings into MLS (MLS of Greater Cincinnati)
Upload media (photos, tours, floor plans) and write/format property descriptions
Maintain listing checklists and progress reports
Set Up Open Houses - enter into MLS, coordinate signs & brochures
Online listing monitoring and ensure Sellers are receiving feedback
Executive Assistant Support
Manage Scott Oyler’s calendar, appointments, and communications
Coordinate meetings, events, and follow-ups
Assist with internal operations, team projects, and presentations
Take notes, prepare agendas, and help drive accountability on key tasks
Act as a liaison between Scott and clients, agents, and vendors when needed
Email and MLS Management: Support the management and organization of client correspondence and listings on MLS.
Assist in Preparation of CMAs: Involve in Comparative Market Analysis to aid in client presentations and listings strategies.
CRM and Follow-Up Boss Management: Help maintain and update our CRM systems to ensure efficient lead management.

Preferred Skills & Experience
2+ years in a real estate or executive support role
Experience with MLS systems, Google Workspace, Canva, and CRMs
Familiarity with Follow Up Boss, Dotloop, or similar platforms
Strong writing, formatting, and communication skills
Real estate license is a plus, or have the willingness to get one

GENERAL RESPONSIBILITIES
Develop and learn interpersonal and sales skills
Assist in the design and implementation of a new land acquisition process and systems
Cultivate and maintain relationships with local landowners, developers, community leaders, and government officials to source acquisition opportunities.
Research parcel and building requirements in multiple jurisdictions.
Assist with reviewing and acquiring assemblages of property.
Coordinate and Execute marketing and sales for custom homes, working with builders, clients, and architects.
Locate and research new areas for new construction and development.
Innovate new marketing and sales techniques for market homes, paper listings, and overall builder marketing.
Conduct market research on new construction trends and market demand in Cincinnati suburbs.
Relationship building with agents, builders and land owners.
Learn and grow under the mentorship of experienced leaders in the company.
Qualifications:
Bachelor's degree in business, real estate, or a related field
Strong interpersonal skills and EQ
Self-Motivated is a MUST with a strong work ethic and attention to detail.
Strong interest in land acquisition, development, and new construction sales.
Excellent research, analytical, and communication skills.
Ability to work independently and as part of a team.
Growth Mindset and a craving to learn and grow.
The assistant is commission based pay as an Independent contractor.
Additional income can be made through your own personal real estate deals.
ASSISTANT GENERAL RESPONSIBILITIES
Assist in day to day real estate activities. Typical duties are, but not limited to:
Identify and Show homes to prospective home buyer clients that meet buyer criteria
Schedule showings of homes with buyer clients, listing agents and/or home sellers
Refine buyers criteria and select additional homes to show as necessary
Schedule and attend on-site property inspections with clients and vendors
Provide buyer clients access to homes under contract as needed for measuring, inspecting, and etc.
Promptly return all Team telephone calls, texts and/or emails.
Promptly return all of the clients telephone calls, texts and/or emails
Assist Realtor with any administrative tasks
Create and post Social Media Content
Assist in marketing initiatives
Provide clients pricing information and market research
Educate buyer clients about home buying process by attending buyer consultations
Keep lead agent informed on all client communications and developments
Assist with any closings, walk throughs, and contract preparation
Some consistent office time will be expected for learning and training purposes SALES ACTIVITIES
You are able to continue to utilize your real estate license to sell real estate to your sphere of influence, but realize all duties outlined above must be completed in a timely manner
You will have the use of all Oyler Hines support team members to assist in your real estate deals including Marketing services and transaction coordinator services to facilitate contract to close activities.
Job Types: Full-time, Part-time
Pay: $35,000.00 - $70,000.00 per year
Expected hours: 25 – 40 per week
